What happens from booking to checkout?

A booking arrives from Booking.com, an agent, the website or the front desk and lands in one reservation list with its channel, rate plan, room category and balance. The tape chart shows every room by night; the front desk assigns a room, prints the guest registration card, and checks the guest in.

Charges post to the folio as they happen: room nights by the night audit, restaurant bills from the POS as room charges, transfers and extras by hand. At departure the folio settles by cash, card, deposit, or to a city ledger account for agents and OTAs that pay later, and the tax invoice is issued in USD or MVR.

How are Maldivian taxes handled on the folio?

  • Service charge of 10% on the net rate, then TGST of 17% on rate plus service charge, in that order, on every room and F&B line.
  • Green Tax per guest per night, with Maldivian nationals exempt, posted nightly by the night audit so it is never forgotten at checkout.
  • Rates are stored net; the all-inclusive amount a guest sees is derived, so an MVR 850 all-in rate and a USD 42.83 net rate are the same booking.
  • Every invoice, receipt and city-ledger transfer carries the currency it was settled in, and the general ledger gets the journal.

What does the night audit do?

Once a day the audit posts room charges and Green Tax for every in-house reservation, exactly once per reservation per night, even if it is run twice. It closes the business date, flags no-shows and unassigned arrivals, and writes the day's revenue to the ledger. A supervisor can run it from anywhere.

Who can do what?

Roles are per property: front desk agent, reservations manager, night auditor, housekeeping, operations manager, administrator. Cancelling a billed booking, refunding a deposit or voiding a posted charge needs the right permission, and every change is in the audit trail with who and when. The system itself is a named actor, so an automated posting is never mistaken for a person.

Does it work on a phone at the front desk?

Yes. NeoSuite is a progressive web app: install it on an Android tablet or iPhone from the browser, and the front desk, housekeeping and POS screens fit a phone. The ask bar at the top takes plain questions like "who is arriving today?" and acts on them.

Can the room category be changed after check-in?

Before check-in, yes, with the room reassigned. Once a guest is in-house the category is locked to protect the folio; a room move within the category stays possible.

What happens to the invoice when a booking is cancelled?

Cancelling a booking voids its unpaid invoices in the same step. A tax invoice that is already partly or fully paid blocks the cancellation until a credit note or refund is handled first.

Can a booking be settled to an agent or Booking.com?

Yes. Transfer the folio balance to the agent's city ledger account; the receivable then sits on that account until their payment arrives.

Is there a registration card?
